Event Balancing
Event Balancing occurs after an event concludes and the "cool-down" period ends. This “cool-down” period is a predefined delay intended to ensure that all relevant revenues and cancellations are captured and accurately reflected in the balancing. It provides an overview and summary of an event's revenue and fees, and its impact on your balance shown in the vivenu dashboard.
Event BalancingBalancing Composition
Sales overview categorized by payment method (managed Payments, own payment, POS).
Fee overview: all fees incurred for the event.
Impact on Balance: Credit of revenue via managed Payments minus the fees for that month's event (any previously incurred fees have already impacted the balance)
Event BalancingComparing Figures & Detailed Info
In the Analytics > Reports, you can view balancing information in more detail or arranged differently. Ensure the filters are set correctly (e.g., "created at" is filtered for the right period).
Balancing report: Filter by a time period to see a summary of all events balanced within that period.
Revenue report: View the revenue and apply filters to see how much has been generated. You can also filter specifically for the amount received via managed Payments.
Transaction report: Customize the view of fees and organize them as needed.
Exports: For a transaction-based overview, use the transaction export in the Transactions. Filter for relevant events and time periods. The export includes all transactions, revenue, and charged fees, providing detailed and comprehensive information, not a summary.
Event BalancingPre-Balancing
Pre-balancings can be arranged separately for managed Payment users. It estimates the cash collected for upcoming events that are available for potential prepayments before an event takes place.
The pre-balancing document has the same information structure as the balancing document.
Calculation of pre-balancing: Revenue (from events not balanced yet) minus fees already incurred for that month but not yet invoiced minus a previously agreed security retention.
