Price Tables_General

Price tables define the cost structures for various tickets at your events. They allow you to predefine multiple price tiers per ticket, enabling you to make global price adjustments with just a few clicks. Instead of setting prices separately for each event, you can manage them globally through price tables and then assign them to specific events. When needed, a pre-defined price tier can be adjusted with a single click within an event. If the price of your tickets increases or decreases according to a predefined rule, this change can be applied directly to all tickets of an event, and even automated.

Using price tables is particularly efficient when ticket prices remain stable across multiple events and predictable price adjustments are needed. However, if ticket prices frequently change and require individual adjustments, it is advisable to set prices directly for each event.

Note: The use of price tables is optional and should only be considered for specific use cases. Your account manager can advise you on using price tables and help determine if they are suitable for your needs.

Price tables can be used in conjunction with dynamic pricing functionalities. For example, price adjustments can be automatically made based on time specifications.

Examples of use:

  1. All tickets for theater events follow a defined cost structure. Each ticket has an Early Bird, Regular, and Last Minute price, which should be automatically applied at predefined times.

  2. During summer and Christmas seasons, the museum offers discounted prices that should be automatically adjusted on specified dates.

  3. Ticket prices are to be reduced by 10% based on event sales. This adjustment should be made promptly.

  4. All prices for your events are the same. Changes would apply uniformly across all events.

  5. And many more.

Each price table always consists of categories, types, tiers, and corresponding prices. In an event, a price table is selected along with a tier, and these prices apply to all tickets. A price table could represent a location, concert series, or be general for all events.

The structure of price tables is explained in detail below.

Categories

Categories simply group your different types. They serve no other function and are for easier organization. In a broad sense, they can be equated with ticket categories in your event. For instance, if you have multiple tickets with the same name but different prices, they must be separately and appropriately structured.

Example categories: Price Class 1, Price Class 2, VIP, Standard

Types

Types correspond to the various price types assigned to your event tickets. In a broad sense, they can be equated with ticket types in your event. To link your event tickets with prices from the price table, these types are connected to the ticket types of your event.

Each ticket type must be assigned to a type. A type can be assigned to multiple ticket types simultaneously. Thus, it's not mandatory to create a separate type for each ticket type. Creating one type per price structure is sufficient. For example, for discounted, children's, and wheelchair tickets with the same price, you can create one tier and assign it to all three ticket types.

However, for comprehensive coverage of every possible price adjustment, you can certainly create a type in the price table for each ticket type of your events.

Tiers

Tiers are categorizations of your prices. Here, you define the different levels from which you can subsequently select within the event. Each price jump defines a tier. For each type per tier, a price can then be defined.

Note that only one tier can be selected at a time within the event. Therefore, a separate tier must be created for each price combination.

Prices are established for each tier and type through a tabular representation. Initially, you can set a standard price per type, which applies uniformly across all tiers unless modified.

  1. Select the Events and Price Tables module from the sidebar.

  2. Click on Create on the right to create a new price table. A new window will open.

  3. Choose a name for the price table. This name is only visible internally.

  4. Create the desired categories and types. These names are also internal and must be linked to the ticket types in the event afterwards.

  5. For each type, set a default price. This will be used as a fallback if no other price is defined in the table.

  6. Click on Edit Tiers to create new tiers. A tabular representation will appear.

  7. Click on Add Tier to create a new tier and define its name. This name is also only visible internally and should be recognizable for the event afterwards.

  8. Click into each field for type and tier to define the prices.

The types, tiers, prices, and names of a price table can be adjusted and expanded at any time. Changes will be reflected live for all linked events here.

Connect Price Tables

After creating the price table, it must be linked to your events to activate it.

  1. Navigate to the Events module and select the desired event.

  2. Go to the event settings and click on the Ticket Categories tab.

  3. Choose Price Structure to view the settings of your price tables.

  4. Select the desired price table from the dropdown menu.

  5. Then choose the desired price tier. This will replace the manual price entry for each ticket type with a dropdown menu.

  6. Click on the dropdown menu next to each ticket type and select the type to link its price with the ticket type.

  7. Finally, click Save.

Note: When using price tables, each individual ticket type must be linked to a type from the price table. If any ticket type remains unlinked, sales will not be possible.

Import Categories & Types

If the ticket types and categories of an event match those in your price table, you don't need to create them separately to link them. Instead, you can create the types and categories directly in the price table and then import them into your event, avoiding additional manual setup and linking.

This process is highly recommended when your ticket types largely align with those in the price table. However, it's important to note that you cannot directly import ticket types from an event into a price table. Therefore, the price table should always be configured first.

  1. Go to the Events module and select the desired event.

  2. In the event settings, go to the Ticket Categories tab.

  3. Choose Price Structure to view the settings of your price tables.

  4. Select the desired price table from the dropdown menu.

  5. Then choose the desired price tier.

  6. Click on Import Categories and Ticket Types. A new window will open.

  7. Optionally choose whether existing categories and ticket types should be deleted for this import. Note that this change cannot be undone, and categories with sold tickets cannot be deleted.

  8. Click on Add to existing categories to execute the import.

  9. The new ticket types are now created without further configuration. The price types have already been automatically added.

  10. Finally, click Save.

Price tables allow price adjustments for all event tickets with just a few clicks. Price tiers are defined beforehand where prices are set. In the event settings, simply select the corresponding price tier to make a price change.

  1. Navigate to the Events module and select your desired event.

  2. In the event settings, go to the Ticket Categories tab.

  3. Select Price Structure to view your price table settings.

  4. Choose the desired price table from the dropdown menu.

  5. Then select the desired price tier.

  6. Click Save.

Dynamic Price Tiers

Dynamic price tiers allow conditions to be set under which the price tier of an event is automatically adjusted. These conditions are based on time specifications, enabling automatic price changes at specific times such as X and Y.

Define under which time conditions (e.g., X days after sales start or after a specific date) each tier should be active. Multiple rules can be added to automate numerous price adjustments. Ensure these rules do not conflict with each other.

  1. Follow the steps above to add the price table to an event.

  2. In the event settings, navigate to Ticket Categories and open the Price Structure settings.

  3. Click on the settings icon next to the price tier dropdown menu. A new window will open.

  4. Click Add to define a new rule.

  5. Define the if-then rule as described.

  6. Click Save. The tier with the defined prices will be automatically activated if the rule's condition is met.

For the sake of better readability, the simultaneous use of the language forms male, female and diverse (m/f/d) is waived. All personal designations apply equally to all genders.
